How to Sync Products, Inventory and Orders With a Mobile App

Design a dependable data flow: authoritative records, stable identifiers, stock reservation, retries and reconciliation.

Choose an owner for each type of data

A mobile storefront usually reads from several systems. The commerce platform may own product descriptions, an ERP may own stock and a payment provider may confirm money received. Write down these responsibilities before connecting anything.

A single “two-way sync” checkbox hides important decisions. If two systems change a price at the same time, define which value wins and how the conflict is reported.

Keep identifiers stable

Store the relationship between source product IDs, purchasable variants and mobile records. SKU alone may be duplicated or changed. Test a renamed SKU, a removed variation and a product that reappears after being archived.

Images and translations need the same care: updating the main product must not silently remove language-specific text or a variant image.

Treat orders as business events

Create a clear flow for order creation, reservation, verified payment, fulfillment and cancellation. These states are related but not identical. A paid order can still be waiting for stock; a shipped cash-on-delivery order may not yet be paid.

Use stable request identifiers so a retry after a timeout cannot create a duplicate order. Keep an audit trail that support can follow without exposing customer secrets.

Plan for delayed and missing messages

Webhooks can arrive late, more than once or out of order. Queue processing, safe retries and periodic reconciliation provide recovery paths. A full stock update should not overwrite a newer reservation without a defined rule.

  • Simulate a network timeout after the source accepted an order.
  • Replay the same event twice and confirm one business effect.
  • Deliver cancellation before a delayed status update.
  • Reconcile a product missed during an import.

Make the promise measurable

Agree update intervals, ownership of failures and a support procedure. “Real time” should not be used as a substitute for a tested service target. Vendra’s integration review identifies the available APIs and confirms the supported flow for the actual store.
